Identify the property and the decision-makers

  • Record the address, property use, approximate cleanable area and number of occupied floors.
  • Name the property contact and the person authorized to approve the cleaning scope.
  • For multiple tenants or locations, distinguish shared areas from each occupier’s space.
  • List opening hours, any areas that remain occupied and the desired cleaning window.

Trace the routes people use

  • Walk entrances, reception, corridors, lifts and stairs; note surfaces and traffic patterns.
  • List meeting rooms, customer waiting areas, staff kitchens, washrooms and agreed amenity rooms.
  • Record entrance mats, carpet, tile and other floor finishes separately.
  • Identify displays, vehicles, stock, documents and equipment that must remain untouched.

Draw the scope boundaries

  • For a strata property, identify common areas and keep private suites outside the common-area brief.
  • For a dealership, identify showroom and office areas separately from detailing and mechanical operations.
  • For retail premises, confirm which counters are cleared and who handles stock, displays and food-related equipment.
  • For an industrial property, describe office and staff areas separately from production, machinery, loading areas or specialist cleaning.

Set the tasks and responsibilities

  • Record routine tasks and proposed visit frequency for each area.
  • Confirm who supplies soap, paper products, liners and cleaning equipment.
  • List internal glass, carpet extraction or other periodic work as separate proposal items.
  • Identify the person responsible for clearing desks, moving permitted furniture and preparing access.

Agree access and the review

For a strata address, check the plan and authorized boundaries before adding shared or limited-common areas to the room list. The Province’s guide explains these property categories.

  • Identify entry permissions, alarm procedures, restricted rooms and an access-problem contact. Do not put codes or keys in an enquiry form.
  • Plan the work around occupied routes and the time people return to each area.
  • Choose observable review points and a way to report an exception without including personal or confidential information.
  • Request a written room list, schedule, exclusions, price assumptions and method for approving changes.
